Conference schedule
The following equipment will be available:
Accommodation in the four star Seagull Hotel in Quy Nhon is guaranteed if your registration is made before May 1st. After this date, if the Seagull hotel is full, you will be accommodated in a neighbouring hotel.
All sessions will be held in the ICISE conference center, 10 minutes taxi (or one hour walk) away from the hotel (you can visualise it on this map). Daily bus transfer (morning and end afternoon) will be provided by the conference organization.
Participants will be expected to arrive on Sunday July 8th, and will leave on Saturday July 14th in the afternoon.
Breakfast and dinner will be served in the hotel for all participants. Lunch will be served at ICISE. The cost per person (full board for 6 days) will amount to $315 US for a double room/twin and $450 US for a single room. Cost per additional day is $55 US for double room and $80 US for a single room. There may have an increase of 5% due to inflation in 2018.
If you wish to have alcoholic or soft drinks with your meals, these will be charged to your account by the hotel. The meals will include mineral water.Payment for board and lodging should be done upon arrival either in cash or with your credit card (the latter will incur a small supplement).
Important Note:
Hotel reservations are made for the whole duration of the meeting, i.e. from Sunday noon, July 8th to Saturday morning July 14th. Please note that the total cost of the meeting cannot be reduced even in case of partial attendance.
If you intend to arrive before Sunday, July 8th and leave after Saturday, July 14th, please let us know in advance so that we can try to make the appropriate hotel reservation for you: contact rencontres.vietnam@gmail.com
Please note also that if you arrive before midday and wish your room to be made available immediately, you will be charged for an extra day. You must inform us so that the hotel can prepare your room in advance.

There are two main international airports in Vietnam : Hanoi (Noi Bai airport : HAN) and Ho Chi Minh (Tan Son Nhut airport : SGN).
The Quy Nhon local airport is: Phù Cát airport (AITA code: UIH, and OACI code: VVPC)
As there are more flights from Ho Chi Minh to Quy nhon, it is more convenient to fly from foreign countries to Ho Chi Minh than to Hanoi.
In order to welcome you and organize your transfert from Quy Nhon airport to the conference hotel, please inform the conference secretariat of your flight number as well as the date and the arrival time in Quy nhon.
Immigration/Visa
We list here some rules as they apply in summer 2017: we will strive to update these informations regularly, but you should make sure they indeed apply to July 2018 before traveling.
All participants do require a visa to visit Vietnam, except for few exemptions listed below.
Vietnam Visa exemption is granted to holders of a passport from:
Thailand, Malaysia, Singapore, Indonesia, Cambodia and Laos for visits of 30 days at the maximum.
Philippines for visits of 21 days at the maximum.
Japan, South Korea, Sweden, Norway, Denmark, Russia and Finland for visits of 15 days at the maximum.
At the end of June 2015, 5 more countries have been added to this list: France, Germany, Italy, Spain, United Kingdom. On May 2017, this exemption has been extended until end of June 2018. The decision for another extension will be likely taken in Spring 2018.
To obtain a visa please apply for a tourist visa and get it at your nearest vietnamese consulate, you may apply for a tourist visa through the Internet. More information can be found here: https://evisa.xuatnhapcanh.gov.vn/en_US/trang-chu-ttdt
Please inform the conference secretariat of your internet visa number and your arrival date and time at the entrance airport.
This internet visa procedure is cheaper but it does take some time (~ 60 min) at the airport immigration office, depending on the queue. Do not forget to have with you 2 passport photos and USD in cash as required by the internet visa service.

The transfer should indicate clearly your name to identify the payee. Please inform the conference secretariat by fax or email that the transfer has been done. You should obtain proof of payment and hand it to the conference secretariat at the conference site. It will take at least four (4) weeks for our account to be credited, so please have the transfer made before May 1st, 2018.
We can cover the hotel for a few participants. These grants will be given in priority to people who present a talk. If you would like to apply for an accomodation grant, please fill in this form.
Social events
Welcome cocktail on Sunday July 8th at 19:00.
Excursion on Wednesday July 11th afternoon.
Conference dinner on Thursday July 12th in the evening.
All participants and their families are invited to regularly scheduled events.
Please note that if you and/or a guest wish to organize a special tour, a tour operator at the hotel can help you.
Several post-conference Tours will be proposed for participants: a feeling of these can be seen on this web site.
It will also be possible to have a short (1-2 days) tour either before or after the conference. However, this will have to be arranged directly by the participant through a local travel agency. We will provide the link for a local travel agent in the near future.
